Products are added and managed one at a time from your product list.

Before you begin

Any team member — Admin (supplier administrator) or Employee — can view, add, edit and archive products. There’s no supplier-administrator-only restriction on product management.

Find a product

Go to Products. The list shows each product’s thumbnail image, code, name, base price (ex-GST), tax setting, and status (Available or Unavailable). You can filter by category, sales account or pricing group, and sort by base price, tax or availability. There’s no free-text search — use the filters to narrow the list. You can select multiple products to bulk-update or bulk-delete them.

Add a product

  1. Select New product.
  2. Enter a Code and Name — both required.
  3. Optionally add:
    • An image
    • A Base Price (ex-GST)
    • A description
    • One or more categories
    • A sales account
    • A tax setting
  4. Set Availability to Available or Unavailable.
  5. Save the product.
Codes must be unique within your product catalogue — if you reuse a code, FikaTrade will reject it and ask for a different one.

Edit a product

Open a product from your list and update any field. Changing a product’s name, code, price or tax setting only affects future orders — past orders keep a snapshot of the product details as they were when the order was placed, so editing a product never changes historical order or invoice records.

Archive a product

Removing a product uses different behaviour depending on its order history:
  • If the product has never been ordered, removing it deletes the record permanently.
  • If the product has order history, removing it archives the record instead, so past orders keep their details intact. An archived product is marked inactive and no longer appears to customers.

What happens next

New products are immediately visible to customers on the default pricing group, provided they have a base price and are marked Available. See Product availability for how this changes for customers on other pricing groups.
